The Opportunity

An established automotive and fleet services organisation in Australia is seeking a motivated Maintenance Administrator to join its supportive and customer-focused team in New South Wales.

This role is ideal for someone with administration or data entry experience who has an interest in the automotive industry, as well as candidates with previous automotive experience looking to strengthen their administrative skills.

You will work closely with maintenance teams to coordinate vehicle servicing, repairs and maintenance administration, while ensuring transactions, invoices and records are processed accurately and efficiently.

Key Responsibilities

  • Support the administration of vehicle servicing, repairs, maintenance and tyre replacement activities
  • Process maintenance transactions and accurately enter and update information in company systems
  • Review, process and reconcile maintenance invoices
  • Identify and resolve invoice discrepancies and transaction exceptions
  • Monitor workflow queues and ensure maintenance requests are actioned within required service levels
  • Maintain accurate maintenance records, documentation and transaction data
  • Respond to maintenance-related queries from customers, suppliers and internal stakeholders
  • Follow up with workshops and suppliers by phone to obtain information and resolve outstanding matters
  • Assist Maintenance Controllers with day-to-day administrative tasks
  • Ensure customer and supplier queries are handled professionally and efficiently
  • Work collaboratively with internal teams to achieve positive customer outcomes
  • Maintain accuracy and attention to detail while managing multiple tasks and deadlines

Requirements & Eligibility

  • Previous experience in administration, data entry or a similar detail-focused role
  • Strong attention to detail and accuracy
  • Confident verbal and written communication skills
  • Comfortable communicating with customers, suppliers and workshops by phone
  • Good organisational and time-management skills
  • Ability to manage competing priorities in a busy working environment
  • Ability to work under pressure and meet deadlines
  • Good computer skills and confidence learning new systems
  • Positive and team-focused attitude
  • Automotive experience or a genuine interest in the automotive industry is highly regarded
  • Experience as a Service Advisor, Service Administrator or in a similar automotive role is advantageous
  • Relevant qualifications or practical experience in administration or automotive services will be considered
